What you get
- Purchase orders. Raise an order to a supplier with prices, quantities and an expected date, and email it from the system.
- Receive against the order. Book the delivery against the order; stock and its cost update at the same time.
- Bills matched to orders. Enter the supplier's bill against the order so quantities and prices are checked, not typed again.
- Input GST captured. The GST on each bill is recorded when the bill is posted and appears in the GST statement for the period.
- Supplier records. Contact details, terms and the history of what you bought and at what price.
- Payables you can see. An aged payables report shows what is owed to whom and since when.
- Cost flows into stock value. What you paid becomes the average cost of the product, so margins are real.
Built for the Maldives
Most shop stock in the Maldives is bought from a handful of wholesalers and importers, often on account and often paid by transfer. Orders, deliveries and bills kept on the same record mean the bill can be paid when it is due, the payment matched to the bank statement, and the input GST claimed in the right period because the bill was posted in it.
How a purchase moves through the system
- Order. You raise a purchase order to the supplier with the products, quantities and prices agreed, and email it from the system.
- Delivery. When the goods arrive you receive them against the order. Stock goes up, and any shortfall against what was ordered stays visible on the order.
- Bill. The supplier’s bill is entered against the order, so the lines are already there to check. Posting it records the payable, sets the value of the goods in stock, and captures the input GST for the period.
- Payment. The bill is paid when it is due, by transfer or cash, and the payment is matched to the bank statement line.
Each step is a document that refers to the one before it, so a question like “did we get everything we paid for on that order” is answered by opening the order, not by searching a folder.
Works with the rest of Odreca One
- Inventory: receiving a delivery adds the goods to stock and sets their cost.
- Accounting: the posted bill is a payable; the payment settles it and matches the statement.
- GST and MIRA: input GST from bills goes into the period statement.
- Manufacturing: materials bought here are what a manufacturing job consumes, at the price on the bill.
Who it is for
Shops and guesthouses that buy regularly from wholesalers, importers and local suppliers, and want to know what has been ordered, what has arrived, and what is still owed.
